1. Reporting Concerns
If any staff member, volunteer, or partner identifies a safeguarding concern:

Report the concern immediately to the Safeguarding Officer.

Complete an incident form detailing the concern, including the child’s name, nature of the concern, and any actions taken.

Do not investigate or attempt to resolve the issue on your own. The Safeguarding Officer will decide on the next steps, which may include notifying local authorities.
2. Responding to Allegations
In the event that an allegation of abuse or neglect is made:

Listen carefully to the child or young person and take their concerns seriously.

Avoid asking leading questions or putting words into their mouth.

Report the allegation to the Safeguarding Officer immediately.

Ensure the child’s safety while the matter is investigated.
3. Risk Assessment Process
Before engaging with any child or young person:

Complete a risk assessment form, which should include:

Known safeguarding issues.
-
Vulnerabilities related to the child’s family or environment.
-
Any medical or educational needs.
-
The risk assessment will guide the support services and safeguarding measures that are implemented.
4. Consent Forms
Before any child participates in an AOH program:

Obtain written consent from a parent or guardian.

Ensure the consent form covers participation, photography (if applicable), and permission to share information if needed.

Store all forms securely in compliance with data protection laws.
5. Incident Recording
All incidents or concerns should be logged immediately, including:

Date, time, and nature of the incident.

Details of the child or children involved.

Actions taken, including who was informed and what follow-up occurred.

6. Social Media and Digital Content Protection
Prior to sharing any content featuring children, AOH will:

Date, time, and nature of the incident.

Obtain written consent from parents or guardians for any use of images, videos, or personal information online or in promotional materials.

Protect children’s anonymity by avoiding the use of full names or identifiable details; faces will be obscured if necessary.

Promptly remove any content if consent is withdrawn or a request is made by the family.

Ensure all content aligns with AOH’s mission, respecting children’s dignity and avoiding exploitation or misrepresentation.
